Fvc Case Study
How FVC unified multi-vendor quotation management using Zoho CRM, Zoho Creator & Orion ERP

Overview
First Video Communication (FVC) required a centralized and scalable quotation management platform to replace a fragmented process spread across multiple systems, divisions, vendors, pricing structures, currencies, and regional requirements. Certify Technologies designed and implemented an integrated solution using Zoho CRM, Zoho Creator, and Orion ERP APIs.
The solution created a unified opportunity-to-quotation lifecycle, automated complex pricing and margin calculations, strengthened quotation revision and approval controls, synchronized business data with Orion ERP, and improved stock visibility. The architecture was designed to support approximately 40–50 users and enable phased expansion across regions and teams.

Executive Summary
First Video Communication (FVC) is a value-added distributor specializing in Unified Communications & Collaboration (UCC), UCaaS, and enterprise technology solutions. Its operations span the UAE, KSA, Qatar, India, and North Africa. With multiple business divisions, vendors, pricing structures, and regional requirements, FVC needed a quotation platform that could standardize processes while integrating with its existing Orion ERP ecosystem.
Certify Technologies addressed this requirement by combining Zoho CRM for opportunity management, Zoho Creator for a customized quotation engine, and Orion ERP APIs for master-data and transaction synchronization. The resulting platform centralized quotation operations and introduced automation, governance, visibility, and scalability across the quotation lifecycle.
Problem Statement and Key Challenges
FVC’s quotation process was distributed across multiple systems and workflows, creating operational inefficiencies and limited visibility. The main challenges were Multiple quotation formats across business divisions and currencies.
- Manual pricing and margin calculations.
- Complex multi-product and multi-vendor quotation handling.
- Limited visibility into free stock and pending purchase-order quantities.
- Lack of centralized approval and revision tracking.
- Redundant data entry between CRM, quotation tools, and ERP.
- Inconsistent discount and rebate calculations.
- Absence of complete audit logs and approval traceability.
- Complex regional taxation, legal, and quotation-template requirements..
The organization therefore needed a scalable solution that could standardize quotation management while maintaining seamless integration between CRM, quotation workflows, and ERP.
Evaluation of the Problem
Certify Technologies evaluated the complete opportunity-to-quotation lifecycle and identified process gaps around opportunity standardization, pricing control, quotation revisions, regional templates, stock visibility, and ERP synchronization.
The assessment showed that FVC required three tightly connected layers: a standardized opportunity-management layer in Zoho CRM, a configurable quotation engine in Zoho Creator, and API-based integration with Orion ERP. This architecture would reduce repetitive data handling while allowing FVC to retain the complex business rules required for multi-vendor, multi-region quotation management.
Proposed Solution
1. Unified Opportunity Management in Zoho CRM
A single standardized Opportunity layout was implemented across relevant divisions, including UCC and UCaaS. The CRM design supports multi-product selection, multi-vendor handling, region-based opportunity management, Business Unit and Product Manager auto-mapping, and mandatory validations. Quote types were classified as Primary, Protected Partner, and Multi-Partner to enforce consistent business rules.
2. Advanced Quotation Engine in Zoho Creator
FVC’s existing quotation system was revamped into a unified and scalable quotation engine without disrupting the live production environment. The solution supports opportunity-driven quotation generation, multi-level nested subforms, and complex multi-product and multi-vendor quotation structures.
3. Intelligent Pricing and Margin Automation
Complex pricing calculations were automated for two key scenarios. In selling-driven pricing, users enter the selling rate and quantity and the system calculates selling value, discounts, rebates, cost, gross profit, and GP percentage. In cost-and-margin-based pricing, users enter the buy price or margin and the system dynamically calculates margin, selling value, and rebate-adjusted profitability.
Dynamic field editability was also introduced so that fields are enabled or restricted according to the pricing scenario, helping reduce manual calculation errors and margin inconsistencies.
4. Multi-Revision Quotation Workflow
A structured revision framework was implemented covering initial quotations, editable revisions, PO-based revision updates, final approval, CRM synchronization, and opportunity Closed-Won automation. Full revision history, version control, approval traceability, and audit logs for pricing changes provide stronger governance.
5. Region-Specific Quotation Templates
Customized quotation templates were developed for the UAE, KSA, Qatar, India, and North Africa. Templates accommodate regional branding, VAT/GST structures, legal disclaimers, terms and conditions, and multi-vendor grouping.
6. Orion ERP Integration
The solution synchronizes master data such as products, vendors, customers, buy prices, MSRP, partner codes, stock data, and vendor price lists on a real-time or scheduled basis. When an opportunity is closed, the final quotation, margin analysis, attachments, and revision details are synchronized with Orion ERP and the ERP acknowledgement is captured.
7. Stock Visibility Enhancement
The platform provides visibility into free stock, pending PO quantities, and location-wise stock availability, enabling sales teams to make better-informed delivery commitments and support inventory planning.

Implementation
The implementation combined Zoho CRM, Zoho Creator, Deluge scripting, Orion ERP APIs, workflow automation, PDF template automation, role-based access controls, and real-time synchronization.
A key implementation consideration was revamping the quotation engine without disturbing FVC’s live production environment. The final architecture connected opportunity management, quotation generation, pricing logic, revision control, regional templates, stock visibility, and ERP synchronization into a single operating flow.
The source case-study report does not specify the implementation duration, project phases, migration scope, UAT/training activities, or go-live timeline; these details should be added if the final case study is intended for external publication.
