Vinayaga Shutters Case Study

Integrated business operations across three branches using the Zoho ecosystems

Overview

Vinayaga Shutters is a steel-products business operating across three branches in Tamil Nadu. Its activities span purchasing, sales, production, inventory, inter-branch stock transfers, estimates, invoicing, andemployee administration. With more than 500 catalogue items, the organization required a connected platform capable of coordinating operational, financial, inventory, and workforce processes.

Certify Technologies implemented an integrated Zoho solution using Zoho Creator, Zoho Books, Zoho Inventory, Zoho Payroll, Zoho Cliq, and Zoho People .The resulting platform centralized business data, automated repetitive workflows, improved real-time visibility, and created a scalable foundation for multi-branch growth.

Executive Summary

Vinayaga Shutters operates in the steel-products sector, specializing in shutters, steel rods, and other metal products. Based in Tamil Nadu and operating through three branches, the company manages a catalogue of more than 500 items together with production, purchasing, sales, billing, inventory, customer, vendor, GST, and workforce processes. To replace fragmented manual processes, Certify Technologies delivered a connected Zoho ecosystem. Zoho Creator supports customized operational workflows and branch-wise stock management; Zoho Books and Zoho Inventory handle finance and inventory; Zoho People and Zoho Payroll support employee administration and compensation; and Zoho Cliq enables internal collaboration. API-based integrations and workflow automation allow information to move consistently across the platform, reducing duplication and improving control.

Problem Statement and Key Challenges

The client relied on manual and disconnected processes to manage a broad range of operational activities. This created the following challenges:
  • High error rates in manual calculations for measurements, stock ,and employee records.
  • Time-consuming updates to purchase orders, sales orders, invoices, production records, and attendance.
  • Limited real-time visibility into inventory, production stages, andemployee information.
  • Slower procurement, sales, and production decisions because datawas in complete or difficult to consolidate.
  • Difficulty managing stock movements and maintaining consistency acrossthree branches.
  • Scalability constraints as the business, product catalogue, andbranch network expanded.

Evaluation of the Problem

Certify Technologies assessed the client’s end-to-end operating cycle, including purchasing, production, sales, branch transfers, stock updates, billing, customer and vendor records, finance, and employee management. The assessment identified a need fora modular system that could centralized at awhile preserving the specialized work flows of each business function. The proposed architecture combine da customized operational layer in Zoho Creator with
dedicated Zoho applications for finance, inventory, HR, payroll, and collaboration. Integrations were designed to synchronize record sand trigger updates automatically, improving data accuracy and reducing repetitive entry.

Proposed Solution

1. Modular Business Process Design

Separate but connected modules were configured for stock management, purchase orders, sales, production, customer and vendor records, employee management, estimates, invoicing, and related operational activities.

2. Custom Operationsin ZohoCreator

Zoho Creator was used to manage customized workflows, branch-wise stock, production, purchasing, billing, GST information, customer and vendor data, and inter-branch stock transfers.

3. Connected Financial and Inventory Management

Zoho Books and Zoho Inventory were integrated with the operational solution to support accurate financial records, stock control, estimates, invoices, and synchronized business data.

4. Workflow and Stock Automation

Automated workflows reduced repetitive tasks, prompted timely actions, and updated stock automatically following sales or production transactions. Low-stock monitoring supported faster replenishment decisions.

5. Real-Time Status Tracking

Status tracking and follow-up mechanisms gave management better visibility in to ongoing processes, inventory levels, and bottle necks across branches.

6. Template Automation

Standardized templates for estimates, invoices, and communications improved consistency in customer and vendor interactions while reducing manual preparation errors.

7. Workforceand AttendanceManagement
Zoho People and Zoho Payroll supported employee administration and compensation. Attendance data captured through a published form was integrated into Zoho People.
8. InternalCollaboration
Zoho Cliq provided a connected channel for internal communication and day-to-day coordination.
9. API-BasedData Synchronization
APIs synchronized relevant records with Zoho Books, supporting accurate and consistent financial data across the integrated system.

Implementation

The implementation brought together Zoho Creator, Zoho Books, Zoho Inventory, Zoho People, Zoho Payroll, Zoho Cliq, workflow automation, published forms, templates, API-based synchronization. The modular design allowed each function to operate within a purpose workflow while sharing relevant information across departments and branches to them. The completed operating flow connects purchasing, production, sales, inventory, stock transfers, billing, finance, attendance, payroll, customer and vendor information, and internal collaboration with in one coordinated ecosystem. with in one coordinated ecosystem.
